Minimizing Issues at an Event by wes sullivan

I was asked the day of an event if they could add running a video to an event. At the time all that was being provided was audio for Emcees. Someone on the phone added it would be easy to just get a screen and projector and get it up and running. Let me stop you right there. 

 

While it it may seem easy to just throw up a screen and projector it is not. Let me just give you some possible issues;

Is the event inside or outside, daytime or nighttime? This affects the projector and the brightness required, let alone if weather or wind will affect the screen itself.  

What are we playing the video on; Blu-Ray, PowerPoint, Keynote, Flash Drive, MP4, YouTube? We must test the sources verify there will be no issues have backup solutions available, make sure they are compatible with the projection system and there is no content protection. 

Is there audio? We may need to move the sound console to the video location do we need a converter to get audio from the laptop or device.  

The list goes on and on. I want your event to be a success with as few surprises as possible. We need to vet the material so we can make sure there are no hiccups. Adding things last minute is just asking for possible issues. No one is saying it can’t be done but we want the event to run smoothly and minimize the chance of error. The more we can plan ahead the greater our level of success.

Designer's become so concerned about making the lighting or the sound stand out so they could be known, or get others to notice them that they forgot about the what I think is the first rule or design or event management. It's about taking the vision from the client and and supporting and lifting there vision to another level. It's not about me and pushing my ideas just because I get to use the newest or coolest thing, its about creating a design that makes the clients thoughts a reality. So let's get this thing started....
